Getting Started

RemitParse supports UNFI, KeHE, Kroger, Walmart, Costco, Target, BJ's Wholesale Club, HEB, and Davidson Specialty Foods. Additional distributors and retailers are on the roadmap — if yours isn't listed, let us know and we'll prioritize it.

No. RemitParse runs in your browser — upload your file, code your transactions, download your CSV or export directly to QuickBooks Online in one click. There's no software to install, no IT department to involve, and no integration work required to get started. The onboarding call we offer for founding members is about your workflow, not technical setup.

Uploading and extracting transactions takes seconds. For a typical UNFI remittance with 50–60 transactions, most users complete coding in 10–15 minutes versus 1–2 hours manually. The first time takes a little longer while you set up your customer defaults and deduction type mappings — after that it gets faster every time.

Data & Privacy

Uploaded files are processed in memory and not stored long-term. We extract the transaction data, return it to your browser session, and discard the original file. We don't retain your remittance PDFs or Excel files after processing.

Only you. Your coded transaction data stays in your browser session and in your exported CSV. We don't share, sell, or access your financial data. Your customer configurations and deduction type mappings are stored in your account profile only.

QuickBooks & Cash Application

Both. On Growth and Pro plans, RemitParse handles the full cash application workflow — it pulls your open invoices from QuickBooks, auto-matches them to the remittance, and posts the payment, credit memo, and any repayment invoices directly to QBO in a single operation. Starter plans handle deduction coding and export ready-to-import CSVs.

RemitParse automates the AR workflow that's specific to CPG — parsing remittance advice from distributors like UNFI and KeHE, coding deductions by type and class, matching invoices, and posting the full cash application to QuickBooks Online. It's built for the accounting team, not a trade promotion manager, so there's no implementation project, no onboarding fees, and no annual contract.

Three things, in order: first, a Credit Memo for the deduction lines; second, any Repayment Invoices for chargebacks or repayments on the remittance; third, a Payment that links your matched open invoices, the new credit memo, the repayment invoices, and any pre-existing open CMs — all balanced against the cash received. If the payment step fails for any reason, RemitParse automatically rolls back the credit memo and repayment invoices so nothing is left orphaned in QBO.

RemitParse works with QuickBooks Online Essentials, Plus, and Advanced. Growth and Pro plans connect directly via OAuth and post payments to QBO with no CSV needed. Starter plans export ready-to-import CSVs. Note: QBO Simple Start is not supported — it does not have a credit memo API.

Each deduction exports as a line item on a credit memo, grouped by remittance. The CSV format follows QBO's import requirements — header information repeats on every row, rows sharing a Credit Memo Number group into one transaction, and all amounts are signed correctly for credit memo entry. Separate Payment and Repayment Invoice CSVs are also available.

Yes. Class and Location are first-class fields in RemitParse. You can code them per transaction, and set customer-level defaults so they pre-fill automatically for each new remittance. Both fields export in the CSV and are included on credit memo and repayment invoice lines when posting directly to QBO.

RemitParse calculates early payment discount lines automatically. For UNFI, it sums the discount amounts from individual invoice lines. For KeHE, it imputes the gross amount from the net payment (KeHE applies a 2% discount before remitting) and calculates the discount accordingly. These lines appear in your grid pre-coded and ready to export or post.

Auto-Coding

Auto-Coding learns from your own export history. Every time you export a coded remittance with Auto-Coding enabled, the deduction types and context values you assigned are saved to your private history. On future uploads, RemitParse matches new deduction rows against that history using invoice patterns and descriptions, and pre-fills matching cells automatically. No training required — it accumulates silently as you work.

No. Your history is completely private to your company and profile. RemitParse never uses one customer's data to influence another's suggestions — every query is scoped strictly to your company ID.

Each auto-filled cell is color-coded by confidence. Green means high confidence — the pattern has been coded the same way many times before and is safe to export as-is. Yellow is reasonable confidence — worth a quick review before exporting. Orange is low confidence — first time RemitParse has seen this pattern, or conflicting history exists. Hovering any colored cell shows the exact reason for the suggestion, including the confidence score and the signal that drove it (invoice match, description match, etc.).

No. Auto-Coding only fills empty cells. If you've already typed a value into a Type or Context field, it will never be overwritten. And if you edit an auto-filled cell after upload, the color highlight clears immediately so you always know which values are yours versus suggested.

Auto-Coding is available on Growth and Pro plans. It's not included on Starter. The feature is opt-in and profile-scoped — you enable it per profile in your settings, and history only starts accumulating once you've turned it on.
